Full Job Description :-
This person must be able to multi-task, work independently and have strong computer skills. Reliability and dependability are essential. Responsible for maintaining data integrity and security, ensuring the proper sorting and organizing of databases, and running data queries. This position will support the organization’s efforts to collect, manage, and share data with both external and internal audiences. This position will also ensure the organization is able to evaluate our work and use our findings to drive improvement and increase impact. Data Coordinator will also assist agency programs in completing necessary funding reports, support monitoring visits and respond to funding requests. Responsible for many general office duties, answering of phones, and assisting the company’s managers in designing systems, forms, etc. that create efficient and effective administrative processes.
The following list of duties or tasks is not intended to be complete but to represent some of the tasks required under each of the major responsibilities.
Data Focused

Transfer information from hard copy to digital format by entry into multiple database systems (HMIS, Electronic

Medical Record, Apricot, BHS Star, etc.)

Oversee the entire data entry process: verifying that all info is correct and complete
Participate in data feedback processes that improve the collection of data and crafting of outcomes
Assist in building and tailoring forms and reports in Apricot in response to program needs and feedback


Perform quality assurance checks in database systems
Train staff on use of Apricot, New Day’s data collection system
Ability to read, interpret and verify both quantitative and qualitative data across multiple formats
Perform weekly and monthly audits on both hard files and database files for missing information
Run database reports for programs to assist in reporting, as requested


Evaluate data quality and “clean” data before sending it to program staff
Assist programs in performing and completing monthly and quarterly quality assurance plans


Assist with completion of necessary monthly, quarterly, and annual reports.
Maintain communication with program staff regarding reporting and billing deadlines

General Administration Support

File paperwork per direction of programs
Respond to requests for administrative support as needed by agency supervisors and managers
Assist and cross train with other office staff.

· Manage Survey Monkey account and run reports as needed
· Able to think outside the box and come up with creative solutions for challenges

Ability to work well in a team environment

· Maintain a professional appearance, attitude, and ethics in the workplace.
· Other duties as assigned
Education Level/ Years of Related Work Experience:
(minimum & preferred educational requirements necessary to perform this job successfully)
Minimum Qualifications:
· Must have experience in database management development
· Must have one to two years office administrative support experience
· Must have some college
· Must have excellent organizational skills and the ability to excel at details, multi-tasking and working under pressure.
· Must be able to perform duties with a minimum of supervision, and learn new procedures and tasks as needed
· Must have the ability to communicate and work well with co-employees
· Must be proficient in MS Word, MS Outlook, MS Excel
· Good eye for detail and intuition for data
· Ability to problem solve and ask for help when needed

Experience with HMIS and/or Apricot


Must be able to pass comprehensive criminal, sexual offender, MVD background checks
Must have a car, valid driver’s license, and maintain state required automobile insurance minimums
Must be fully vaccinated (Including Booster) against COVID-19
