Job Description:
The NewGround title for this position is Guest Ambassador.
Provide executive-level administrative support to President/CEO, Senior Vice President – Construction, Vice President of Human Resources, Directors of Retail Design, and general office management.

Primary responsibilities
Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
Become knowledgeable in the “NewGround story” and provide tours of the office for guests and potential clients.
Prepares reports by collecting and analyzing information.
Provide light administrative support to Accounting Department. (stamping, mailing, very light filing)
Creating all FedEx shipments, and maintaining the stock of shipping supplies
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
Travel coordination
Coordinate client luncheons – a primary source of contact between building management and building security
General office duties including filing, type/fax correspondence, etc.
Provide clerical and administrative support to the Executive Team
Maintain confidential files and create new files as needed, including legal files
Voucher general administrative invoices for payment
Perform basic clerical functions at project site which include filing, copying, binding reports, simple typing, etc.
Handling, sorting, distributing, delivering and picking up mail
Run miscellaneous errands, pick-up/deliveries per supervisor’s request
Calendar and meeting management
Data collection and entry in various systems, report building and system management
Administrative functions for various Sales meetings
Expense reporting
Document meeting notes
Personal Projects as needed (vehicle management, personal travel, charitable contributions management)

Education and experience prerequisites
Excellent computer skills. Must be proficient in Microsoft Suite (Outlook, PowerPoint, Excel) is required
Experience in commercial Construction, Architecture or Interior Design is a plus
PDF editing experience is a plus
