Description:
The information below is intended to describe the general content of and requirement for the performance of this job. It is not to be construed as an exhaustive statement of the essential functions.
Position Summary (Mission): The primary responsibility for the Payroll Coordinator will be the payroll administration for all hourly & salaried employees on a weekly and semi-monthly basis. Duties will also include providing administrative support and assisting the department in carrying out various human resources programs and procedures for all company employees. Responsible for the administration of various tracking programs at the company.
Essential Functions and Responsibilities: (Duties include but are not limited to)
1. Responsible for audit and transmitting of all timecard data. Process payroll according to established schedules.
2. Compiles all payroll related data. This will include but not limited to: garnishments, time off (vacation, etc.), benefit deductions and all employee updates.
3. Maintains personnel and medical files in compliance with applicable legal requirements by keeping employee records up-to-date – process new hire and employee status changes in timely fashion.
4. Compile internal management reports from payroll system software (Current platforms: AS400, Paylocity).
5. Work cooperatively with Controller to ensure all payroll reports are accurate.
6. Responsible for entering all Vacations for hourly and salaried employees on a daily basis.
7. Update Employee Status report for employees off work due to FMLA or Short Term Disability.
8. Main contact for all FMLA & Short Term Disability claims. Work proactivity with employees to ensure accuracy and timeliness of reporting.
9. Administer company attendance points program. Issue warnings and track warnings through the system.
10. Work with others on the HR staff to ensure consistency of all employee communication using the bulletin boards, breakroom TV and email communication.
11. Prepare regular employee communication materials – job postings, birthday and anniversary postings.
12. Recommends, participates and assists in the facilitation of social, recreational, and educational activities.
13. Assists with job recruiting and interviews as needed. Including, participation in job fairs as part of the goal for Hastings Manufacturing to be an Employer of Choice.
14. Active participant in activities to ensure HMC has an environment and culture that promotes safety in the workplace.
15. Strong understanding of employee benefits. Drive the participation rate for the 401K plan beyond national averages.
16. Support the Guiding Principles.
17. Participate in Hiring and Orientation.
18. Ensures company is in compliance in areas of responsibilities.
19. Active participant in employee professional development opportunities.
20. Work with peers, superiors and subordinates to insure the development and execution of the department/operating plan.
21. Back up for the Human Resources Supervisor.
22. Other duties as assigned. . Requirements:
Education, Skills & Experience Required:
1. The HR team is expected to be the number one representative our guiding principles – Respect, Dedication, Integrity, Teamwork and Positivity. Also possess the ability to help others achieve this standard.
2. Associates degree in Human Resources, labor relations, or administration related course work is preferred but not required.
3. 3 years of progressive experience in Human Resource field is preferred.
4. PHR certification preferred.
5. After hire, ongoing education/training sufficient to maintain current position knowledge is required.
6. Understanding of OSHA and other relevant safety regulations.
7. Prior payroll experience (Current platforms: Paylocity). To include ACH transfers.
8. Basic knowledge and understanding of rules, regulations, compliance methods, and technology as it pertains to payroll and time and attendance (Current platforms: Paylocity & Kronos).
9. High level of interpersonal skills to handle sensitive and confidential situations and documentation.
10. Knowledge of office administration procedures.
11. Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
12. Up to date, social media shrewdness is required.
13. Good to excellent spelling, grammar and written communication skills.
14. Excellent telephone and oral communication skills.
15. Ability to maintain a high level of confidentiality
16. Proficiency in MS Office including Word, Excel, Power Point and Outlook.
