Position: Office Manager
Reports to: Site Property Manager
Position: Full Time
Position Skills & Qualifications:

High school diploma or GED
Graduate of an accredited business school a plus
Capable of typing a minimum of 40 WPM
Excellent computer skills in the following applications:
MS Office: Excel, Word, Publisher, and PowerPoint
Google Suite
Electronic and hard copy file management
Experienced in writing business communications:
Newsletters, calendars, tenant memos, etc.
Letters to management, tenants, applicants and suppliers
Strong ability to multi-task
Excellent interpersonal and communication skills
Strong common sense judgment and conflict management skills.
Strong time management skills (i.e., on-time, dependable, and consistent)

Position Responsibilities (include, but not limited to the following):

Manage inventory and order office supplies
Maintain the operation of all office machinery (computers, fax, copier, etc.)
Assist in development of Social Service Program with Property Manager/SSC to meet yearly investor and tax credit requirements
Create, maintain, and distribute a monthly calendar of events to tenants
Manage and maintain tenant applicant waiting list
Prepare maintenance requests
Collect rents to ensure the following:
Ensure checks are written properly prior to accepting for deposit
Ensure that tenant(s) know when unpaid balances or credits exist
Provide checks ready for deposit to PM/SSC for inclusion into rent roll and balance tracking system (QuickBooks or Excel, Word, etc.)
Prepare Bank Deposits for both operating and tenant escrow accounts; report transactions to Corporate Finance Department.
Track all receipts for site and report to finance coordinator.
Remove and calculate laundry card money either bi-monthly or monthly.
Enter all tenant information for initial lease-up and recertification into MITAS.

Role Expectations:

Work in partnership with Property Manager/SSC to accomplish all described tasks.
Ability to work independently and take initiative to manage work load.
Asks clarifying questions to ensure understanding of work assignments.
Ensure all work is completed timely, and provide status updates to PM/SCC.
Reports issues requiring follow up to PM/SSC.
Report facility/maintenance needs to PM/SSC
Must be flexible and adaptable to meet program needs
Fosters a positive environment for tenants, vendors, on-site workers, and staff.
