The School for Engineering of Matter, Transport and Energy (SEMTE) Academic Advising team is seeking an energetic, highly‐motivated, self‐starter, to join our team! This team leader will coordinate the day‐to‐day operations of the advising center front desk, delivering excellent customer service through phone, walk‐in and email communication with students, parents, faculty and staff. This individual will play an integral role in providing comprehensive administrative support to the team, as well as supervise our student staff, and will report to our Assistant Director, Academic Services.

This is not a grant funded position and is not contingent on future grant funding.
$32,800 ‐ $41,000 per year; DOE
Build and maintain the schedule of classes for the AEE, CHE, MAE, MEE, MSE, and BDE prefixes.
Manage SEMTE room reservations requests; schedule rooms for SEMTE faculty, staff, students, teaching assistance and other constituencies as needed.
Serve as textbook coordinator; order textbooks for SEMTE classes and desk copies for faculty.
Serve as a roster contact; monitor independent study paperwork and grade entry; process overrides.
Complete Instructor Class Funding reports.
Run Analytics queries and other reports as needed.
Provide additional front desk support in the advising office.
Works closely with undergraduate and graduate program chairs for enrollment planning and textbook requests.
Communicates with university partners including University Classroom Scheduling, Registrar’s Office, and the Engineering Dean’s Office to resolve or assist with the resolution of classroom, enrollment, and system issues.
Provide general administrative support to the advising office team and school leadership.
Bachelor’s degree in field appropriate to area of assignment AND two years of administrative and appropriate program experience; OR, six years of progressively responsible administrative and appropriate program experience; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Experience working in an academic advising setting in higher education.
Demonstrated knowledge with ASU academic structure and organization, academic programs, colleges and academic departments University‐wide.
Experience with Student Services systems and databases as well as Customer Service Management platforms (PeopleSoft, Salesforce, Dashboards, AdAstra).
Experience in using Microsoft Office applications (Word, Excel, Outlook).
Experience in performing various administrative tasks such as: Faculty Workload (ICF) reporting; university textbook ordering; program course schedule building and maintenance; and/or tasks that offer transferable skills in those areas.
Experience interacting with diverse populations.
Experience in establishing and maintaining effective working relationships with peers, faculty, students, and administration.
Experience working in a high volume fast‐paced customer service environment.
Evidence of effective communication skills.
Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting.
Use office equipment including a desktop computer.
Lift up to 25 pounds.
Use effective communication skills to perform essential duties.
Work from general instructions on standard job duties and specific directions/instructions on new assignments.
